You\u2019re writing an email to a senior manager at another company. Her name is Mrs Jane Smith, and you\u2019ve never written to her before. How do you begin?<\/span>\u00a0<\/span><\/p>

Many people would go back to the apparently safe zone of \u201cDear Mrs Smith\u201d. Others would try \u201cHello Jane\u201d. It\u2019s a minefield. Which one would\u00a0<\/span>you<\/span><\/i><\/b>\u00a0choose?<\/span>\u00a0<\/span><\/p>

The thing to remember is this \u2013 emails are\u00a0<\/span>not<\/span><\/i><\/b>\u00a0business letters.<\/span>\u00a0<\/span><\/p>

The old-fashioned practices of business correspondence that were OK back in the 90s have changed. Back then, formality was the key. Today, you need to think about how to build the relationship. Because, let\u2019s face it, you need to build a relationship if you want to get anything out of business interactions. And the best way to build that relationship is to be natural and friendly.<\/span>\u00a0<\/span><\/p>

So \u201cDear\u201d went out with black-and-white portable TVs, ABBA on the record player, and flock wallpaper.<\/span>\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/section>\n\t\t

\u201cHello\u201d<\/b>\u00a0is the best opening salutation for virtually every case \u2013 whether you\u2019re emailing a senior manager, an external client, or a first-contact recipient.<\/span>\u00a0<\/span><\/p>

For first contact, it\u2019s best to begin with \u201cHello Mrs Smith\u201d. This sounds more relational than \u201cDear Mrs Smith\u201d, which feels rather distant and formal. Once she replies and signs her email \u201cBest regards, Jane\u201d, that\u2019s your key to starting your next email with \u201cHello Jane\u201d. The first steps to building the relationship with your new communication partner have been laid.<\/span>\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

The feeling about when to switch from\u00a0\u201cHello\u201d<\/strong>\u00a0to\u00a0\u201cHi\u201d<\/strong>\u00a0is vague. A general rule of thumb is you can do so after the first face-to-face meeting, phone call, or video conference.<\/span>\u00a0<\/span><\/span><\/span><\/p>

Remember to address the addressee \u2013 avoid starting your email with just \u201cHello<\/span>\u201d.<\/span>\u00a0Instead, use \u201cHello\u201d along with their name. Everyone likes to hear their own name\u2026.\u00a0<\/span>P<\/span>lus,\u00a0<\/span>you\u2019ll<\/span>\u00a0help\u00a0<\/span>the people in the cc. Imagine starting to read an email that begins with just \u2018Hello<\/span>\u2019,<\/span>\u00a0getting halfway through it, thinking<\/span>,<\/span>\u00a0\u2018This has nothing to do with me<\/span>\u2019,<\/span>\u00a0then scrolling back up and finding you were just in the copy\u2026.<\/span><\/span>\u00a0<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

How do you address an email to 3 people, including a manager and 2 colleagues? Do you start your opening salutation with the manager? What if the manager is male and your colleagues are female? Do your colleagues come first because of \u2018chivalry\u2019? Or do you go with seniority first?<\/span>\u00a0<\/span><\/p>

The good news is it doesn\u2019t matter. You can put them in the opening salutation in any order you want.<\/span>\u00a0<\/span><\/p>

No one cares if you write \u201cHello Monika, Mike, and Aga\u201d \u2013 even if Aga is the manager, and Mike is a new joiner. (No one\u2019s really concerned about Monika.)<\/span>\u00a0<\/span><\/p>

A couple of things to avoid: \u201cDears\u201d is a horrible construction in English; it just sounds wrong. To start an email to a group (in other words, 4 addressees or more), use a group salutation like \u201cHello Everyone\u201d or \u201cHi All\u201d.<\/span>\u00a0<\/span><\/p>

Similarly, \u201cHello Both\u201d for 2 recipients sounds ugly \u2013 much more relational to use their names.<\/span>\u00a0<\/span><\/p>

So, in summary, for up to 3 recipients, use their names: \u201cHello Ania, Bartek, and Magda\u201d. For 4 recipients and above, use a group salutation: \u201cHello Everyone\u201d. Remember \u2013 relationships are the key, and starting an email like this is open, friendly, and will pay dividends in the long run.<\/span>\u00a0<\/span><\/p>
